WebSurveyor Account Types

WebSurveyor is available to the University community as a free service.  In order to obtain an account using this online survey software, you must have a Hawk ID and be a current Faculty, Staff, or Student of the University of Iowa.  There are a few considerations to make before you may be able to determine the type of account to request.  The following questions, will assist you in making this determination.

Student Accounts

Q: Are you an Undergraduate Student working on a class assignment/project?

Faculty, Staff and Departmental Accounts

Q: Are you a Faculty or Staff member working alone on this survey?

Q: Can a co-worker modify a survey in my account in my absence?

A: Providing your User ID and password to others breeches the security and confidentiality of all surveys, and the response data, in your account.  It is best to consider requesting a Departmental Account.

Q: Will multiple people in your department need the ability to design/modify/publish your project's survey(s)?

A: Currently, WebSurveyor allows for the sharing of surveys between account holders.  This type of sharing has its limitations.  However, you may wish to consider a group account if multiple departmental people will be working on this project.  In order to allow for more than one account holder to have full access rights to modify and publish a survey, you will need a Departmental Service ID, along with a Universal Security Group.

Begin by emailing your departmental Organizational Unit Administrator (OU Admin), providing the following information to them in your email.  If you do not know who your OU Admin is, please contact the ITS Help Desk, 384-HELP(4357).

OU ADMIN Instructions for Departmental Account

  1. Create a Departmental Service ID & Create a Universal Security Group – using the established naming convention for creating a departmental account.  For example: Hawk ID = deptacronym_subdeptacronym & Universal Security Group = deptacronym_subdeptacronym_group.  A more meaningful example: Departmental Service ID = cph_ergonomics & Universal Security Group = cph_ergonomics_group.  The group must contain all member’s Hawk ID.  For example deptacronym_subdeptacronym_group would contain member names such as myhawkid, yourhawkid, herhawkid, hishawkid.  Please read all information before you begin.
  1. Once the service ID and security group have been setup, the OU Admin will forward the email to its-survey@uiowa.edu – providing the following 3 pieces of information: Group Hawk ID, Universal Security Group Name, and the Group Account Holder’s Name.  The account holder's name should match the name shown in the UI Online Phonebook (for example, "Robert Smith" rather than "Bob Smith").

    NOTE to OU ADMINS: In order for email notifications to work properly, the AD groups should consist of a flat membership structure, and should not contain group nesting.   In other words, only Hawk IDs should be included as members - secondary AD group objects or subgroups should not be listed as members.

Survey & Desktop Application Services will finalize the process by:

  1. Mail enabling the group
  2. Creating the WebSurveyor user ID and password
  3. Emailing the group e-mail address so that all members are notified of the WebSurveyor login information.
