Request to Add or Remove Hawkmail Resources

A resource is a thing that you schedule instead of a person. Resources are conference rooms, projectors, laptops, etc.

To request a resource for scheduling in Hawkmail, your departmental Hawkmail liaision should fill out the form below or if you are requesting several resources, see Batch resource adds - 5 or more resources for information.

Resource Name maximum 19 alphanumeric characters, including hyphens ("/" characters are not valid)
Each resource must begin with RES-, followed by BLDGRoom# or BLDG-EquipmentDescription
Note: "RES-" should be counted as part of the 19-character limit.

Batch adds (5 or more resources) - requests to add multiple resources to Hawkmail should go through the departmental Hawkmail liaison. The liaison should send an e-mail request to its-email@uiowa.edu and include the text Batch Hawkmail Resources in the "Subject:" field of the message. Also, attach a spreadsheet with the information below and name the attached spreadsheet as follows: resources-alias (alias=requestor's alias to send notification, e.g., jane-doe).

Column2 = Resource Owner(s) Hawk ID(s) Note: this is the person (or people) who manage the resource
Column3 = Departmental OU Administrator(s) in AD Hawk ID(s)

Column4 = Automatically Process Meeting Request and Cancellations (Yes or No)

Column5 = Allow Conflicts (Yes or No)

Column6 = Is the resource a room or equipment

Removing a Resource

When a Hawkmail resource is no longer needed, the departmental Hawkmail liaision should contact the ITS Hawkmail Team, and request that the Resource be deleted from the Hawkmail server.
