Distribution List in Your Personal Contacts Folder on the server |
Limit: The limit is based on the size of contacts, not the number of contacts. Each distribution list cannot exceed 29 KB. This limit applies when the members of the distribution list are selected from the your Contacts folder, entered as full email addresses or selected directly from the GAL. If you use very basic information for contacts (for example, only the name and the email address), your distribution list limit may be 125 to 130 contacts. If you have a lot of information for each of your contacts, you will have fewer addresses per list. Workaround: Create multiple distribution lists and nest them within one master distribution list or save the distribution list locally in a personal folder (.pst file) (see below). |
OWA Limit: OWA 2003 only allows you to add one member at at time to a distribution list whereas OWA 2007 Premium allows adding multiple members at a time. Each distribution list should not exceed 29 KB because of the limitations of Outlook. You can save larger distribution lists using OWA but you will not be able to edit or save them using Outlook. Entourage Limit: Entourage 2004/Entourage 2008 do not support the creation of distribution lists (called groups) on the Hawkmail server. Entourage also does not display distribution lists created in Outlook. |

To view the size of your contacts and distribution lists in Outlook 2003/Outlook 2007:
- For Outlook 2003, select Contacts | View | Arrange By | Current View | Phone List (or By Category).
For Outlook 2007, select Contacts | View | Current View | Phone List (or By Category). - Right-click on any of the column headers.
- Select Customize Current View.
- Select the Fields button.
- Under "Select available fields from", select All mail fields (Note: make sure you don't forget the "All").
- Under "Available fields" select Size.
- Click the Add button.
- Move the Size up in the list.
- Click OK twice.
