Microsoft Exchange Support

ITS has been experiencing some issues with scheduling, changing and canceling meetings that include a resource room since the Exchange 2010 SP1 server upgrade.  We are in the process of updating individual resource settings to correct these problems.

ITS is hoping to have this resolved by Monday, March 28th, 5:00 PM.

The LISTSERV mailing list server had been scheduled to be taken out of service beginning at 3:00 p.m. on Wednesday, January 5th and returned to service by 4:30 p.m.

The maintenance on the LISTSERV mailing list server was done on January 4th at 3:00 p.m. instead.  Everything went ok and the server was back up and running around 4:30pm.

ITS needs to perform an update to Listserv on the afternoon of Thursday, October 7, 2010.

Listserv will be unavailable from 2:00 PM until about 3:00 PM. All messages sent to Listserv during those hours will be held and delivered after the upgrade is complete.

All lists will remain intact, including the configuration, the subscriber lists, top and bottom banners, etc.

OUTLOOK EXPRESS & WINDOWS LIVE MAIL IMAP/POP USERS:

You may need to change your client configuration on or before July 13th to Deselect ‘Use Secure Password Authentication.  See https://ike.its.uiowa.edu/article/1559 for instructions.

ENTOURAGE USERS:

All Mac users using an Entourage version prior to Entourage 2008, Web Services Edition (WSE) will need to upgrade or move to another e-mail client by July 13, 2010. 

This upgrade will need to be done on all machines using Entourage including those at work, home, and laptops.   You will need to upgrade or move to another e-mail client or you will not be able to access your Exchange mailbox using Entourage if this action is not taken.   

We are upgrading our Hawkmail server to Exchange 2010 in the coming months and earlier versions of Entourage will not be supported.   Versions prior to Entourage 2008, (WSE) use WebDAV as the communications protocol for Entourage connections with Exchange Server. 

To Download and Configure Entourage 2008, Web Services Edition: 

Entourage 2008, Web Services Edition is available to current Entourage users on Office 2008 for Mac SP2 with all updates applied.  Installing Entourage WSE requires Mac OS X version 10.4.9 or later and Microsoft Office 2008 SP2  (12.2.6) with all updates applied.  Click on download and configure Entourage WSE for installation instructions and how to configure your connection to the Hawkmail server.   Microsoft Entourage 2008, Web Services Edition, offers several improvements. These include notes, tasks, and categories synchronization, logging, and calendar improvements.  Additionally, Entourage 2008 WSE communicates more quickly and reliably with the Hawkmail server.

 Other Options:

Mac Mail and Outlook Web Access are two other options for Entourage users who choose to not upgrade to the Web Services Edition. 

To use Mac Mail we recommend upgrading to Mac OS X 10.6 (Snow Leopard).  Snow Leopard has built-in support for Exchange and allows you to access your Hawkmail account using Exchange Autodiscovery.   Click on configuring Mail on OS X 10.6 for instructions on how to access your Hawkmail account using Mac Mail.

NOTE:  If you have saved e-mail messages in “On My Computer” folders with Entourage you will have to manually move them to the Exchange server so you can access them in Mac Mail.  You can do this following the steps at How to move “On My Computer” folders with Entourage.

To use Outlook Web Access start your web browser and enter the web address http://email.uiowa.edu.  OWA provides the ability to access your Hawkmail account from any computer that has Internet access.  More about Outlook Web Access can be found at the UI OWA home page.

There is a security vulnerability in what appears to be all BlackBerry phones running 4.5 to 4.7.  More details can be found on their KB article.

RIM recommends that BlackBerry device users exercise caution when clicking on links that they receive in email or SMS messages. If a user visits a site that causes a BlackBerry Browser dialog box to warn the user about continuing the connection, the user should select Close connection.

Users should check with their service provider for an OS update or patch.

As many of you are aware, SPAM continues to be a problem on campus and with the Hawkmail service. ITS has been working on additional measures to reduce the amount of SPAM that is delivered to Hawkmail, and today, 8/13/09, we are planning to put additional protection in place. Specifically, ITS will be making the following changes:

• At 10:00 AM, ITS will provide a similar level of protection for messages sent to @iowa.uiowa.edu addresses, similar to that which is currently provided for mail sent to @uiowa.edu addresses.  E-mail sent directly to @iowa.uiowa.edu addresses will be rejected if the SPAM probability is 80% or higher.  Individual preferences cannot be set for @iowa.uiowa.edu addresses. We believe a significant amount of the SPAM received by Hawkmail users is delivered to their @iowa.uiowa.edu address.
• At 12:00 PM, ITS will remove the existing content filtering solution that has previously been in place on the Hawkmail servers. This change will fix the “Outlook Blocked Senders List” issue described in a Help Desk Known Issue – http://helpdesk.its.uiowa.edu/alerts/alert.asp?id=242.

ITS has experienced an increase in calls from Mac Exchange users who report having problems with Hawkmail.  Eudora POP users who try and check mail receive a protocol error.   See http://help.asu.edu/Resolving_POP_Protocol_Errors_in_Eudora_for_Mac for a fix for this problem.
