Appropriate Use of E-mail
The Hawkmail server(s) have the maximum send/receive message size (and optional attachment) set at 30 MB.
Eudora loads the 3 system mailboxes (In, Out, Trash) into memory, along with the application when you launch the program. Large mailboxes affect Eudora performance and are difficult to manage.

Transfer read messages from your In mailbox to other mailboxes or delete those that you don't need to keep. To create a new mailbox choose: Mailbox | New, type a name for the new mailbox (e.g., Faculty) and click OK. To transfer a message to the new mailbox: select the message, select Transfer, select the mailbox you wish to transfer the message to (e.g., Faculty).
Note: Use your In mailbox for new incoming messages only, not as a storage area for all of your messages. -
Delete or transfer copies of messages that you have sent (stored in the Out mailbox) to other mailboxes.

Set up a filter for any Listserv mail to route those messages directly to a predefined mailbox.

The option "Empty Trash when exiting" should be selected to avoid a large Trash mailbox.

You can check the size of any mailbox with the Mailbox Size button located in the lower-left corner of an open mailbox. The first number is the number of messages in the mailbox, the second number is the size in K of the mailbox, and the third number is the size in K of wasted space (deleted messages).
In the example below, the In mailbox contains 31 messages, using 70K of space, with 8K of wasted space. Be sure to keep the second number under 1000K.

Click the Mailbox Size button (Mac: use Command-click) to compact the mailbox and delete the wasted space. (Eudora will automatically compact a mailbox if the amount of wasted space in the mailbox is greater than the amount of space used by the messages in the mailbox.)
Number of Mailboxes and Folders
If you need to have many different mailboxes in which to organize and save your messages, create folders and group similiar mailboxes under each folder. From a display perspective, too many mailboxes at the top level can cause display problems when you try to view all of the mailboxes from the Mailbox or Transfer menus.
If your department has a "departmental" e-mail account (e.g., history@uiowa.edu or imu-bookstore@uiowa.edu) that several people will access, you can set up Eudora mailboxes and settings on a shared network drive and each person who will check the departmental account can create an alias or a shortcut on his/her own desktop.

Moving Mailboxes Between Platforms
Windows to Macintosh
To move your Eudora mailboxes, nicknames, etc. from a Windows platform to a Macintosh platform, first transfer the files from your Windows machine to your Hawkmail account using FTP (File Transfer Protocol). Then from your Macintosh, transfer the files from your Hawkmail account to System Folder : Eudora Folder (transfer mailboxes into Mail Folder). Do not transfer the .toc files. Remove the .mbx extensions from the mailbox files to complete the conversion process.
