Creating a Departmental Address Book

For LAN Liaisons/Administrators

If you have both Windows and Mac Eudora users in your department, you will need to create two versions of the address book(s) since end-of-line is handled differently on each platform. Create and save the address book file(s) on the appropriate platform.

Windows Version

ITS LAN Services Customers

A L:\eudora\nickname folder has been created on your network server by ITS LAN Services. This is the default folder for the departmental address book(s). As the LAN liaison for your department, you have access control rights to the folder.

Non-ITS LAN Services Customers

You may have a shared network drive other than "L:". In that case, modify the eudora.ini file for each user and change the "ExtraNicknameDirs=" option to your shared drive and path (e.g., M:\eudora\nickname).

How to Set Up the Address Book

  1. Choose Tools | Address Book and click the New button.

  2. Name the new address book, e.g., History (or whatever name you wish).

  3. Select Make it a file and click the OK button.

  4. Highlight the newly-created address book.

  5. Click the New button.

  6. Add a nickname and e-mail address for each person in the department.
    Note: You can also create nicknames for groups of people within the department.

  7. Save changes to the address book and close it.

  8. Open Windows Explorer or My Computer.

  9. Locate your Nickname folder in C:\Program Files\Qualcomm\Eudora (or H:\eudora).

  10. Move the dept.txt and dept.toc files (where dept is the name of the address book file you created) to the L:\Eudora\Nickname folder.

Note: You only need to move the departmental address book from your own Eudora\Nickname folder to your shared network drive when you initially create the departmental address book. Any updates can be done directly from Eudora.

Note: You must exit Eudora and restart for the departmental address book to appear when you open your Address Book. Any updates to the departmental address book should be made at a non-peak time so that users are not accessing the address book when you are updating it.

Macintosh Classic Version (Not available w/ OS X)

ITS LAN Services Customers

A volume:dept:eudora:nickname folder has been created on your network server by ITS LAN Services. This is the default folder for departmental address book(s). As the LAN liaison, you have access control rights to the folder.

Non-ITS LAN Customers

You may have a different shared network drive. In that case, save the address book file(s) in your shared network folder.

How to Set Up the Address Book

  1. Choose Special | Address Book and click the New button.

  2. Name the new address book, e.g., History (or whatever name you wish).

  3. Select Make it a file and click the OK button.

  4. Highlight the newly-created address book.

  5. Click the New button.

  6. Add a nickname and e-mail address for each person in the department.
    Note: You can also create nicknames for groups of people within the department.

  7. Save changes to the address book and close it.

  8. Open Documents:Eudora Folder:Nicknames Folder on your Macintosh HD.

  9. Move the departmental address book file (where dept is the name of the address book file you created) to the volume:dept:Eudora:Nickname folder on the shared network drive.

  10. Make an alias of the address book file (highlight the address book file and choose File | Make Alias). By creating an alias, each Eudora user will get the most current version of the address book each time they launch Eudora.

Note: You must exit Eudora and restart for the departmental address book to appear when you open your Address Book.

Macintosh Eudora Users

In order to use the departmental address book, each Macintosh user will need to connect to the network drive and copy the address book alias to Documents:Eudora Folder:Nicknames Folder in Macintosh HD.
